Why landscaping calls get missed
You can't hear a phone over a mower or a blower. So the call rings out. The homeowner who just moved in and wants weekly service tries the next company on the list.
The busy months make it worse. Spring brings the install rush: sod, mulch, new beds, irrigation checks. In Florida, the rainy season from June on means grass grows fast and every yard needs cutting at once. And after a storm, the phone fills with cleanup calls for downed limbs and debris.
In a CallRail survey of 1,000 US consumers (2025), 82% said they'd try a competitor after an unanswered call, and only 42% leave a voicemail at all.
What the AI receptionist does on a landscaping call
- Answers in your company's name, on the first ring, and opens with "This call may be recorded."
- Answers the questions callers actually ask, from the information you give it: do you service my neighborhood, do you do weekly or every-other-week mowing, do you do irrigation, tree trimming, sod, commercial or HOA properties.
- Books the visit into your Google Calendar: an estimate walk-through, an irrigation service call, a one-time cleanup. Only the appointment types, lengths, hours and service area you set, and only after checking the time is still open.
- Moves or cancels appointments on that calendar when a customer calls to reschedule.
- Takes a message for everything else, like a customer who wants to skip a week on their regular route, and marks it urgent when the caller says it can't wait, such as a broken irrigation line flooding the yard or a limb down across a driveway.
- Emails you the booking or message in full, minutes after the call. Every call is also listed in your portal at app.aeriox.co.
It quotes only the prices you give it, such as a starting price for weekly mowing by lot size. It never guesses at the price of an install or a cleanup. Anything else becomes a note for you.
A sample call in Spanish
AIThanks for calling Mangrove Lawn & Garden. This call may be recorded. How can I help?
CallerHola, ¿hablan español?
AISí, claro. ¿En qué le puedo ayudar?
CallerQuiero servicio de césped cada semana. Acabo de mudarme.
AICon gusto.
Mangrove Lawn & Garden is a fictional business. The caller switched to Spanish and the agent followed. In English: Rosa wants weekly lawn service and is booked for an estimate visit Tuesday at 10 AM. The owner gets an email with the booking, and it's on their Google Calendar.
What to give it, and where it stops
Setup starts with a 15-minute call. Then AERIOX builds the agent with you in 2 to 5 business days. For a landscaping company, give it:
- Your service area, by town or ZIP, so it doesn't book an estimate outside your routes.
- Your services, and the ones you don't do, so it can say so.
- Your estimate days and hours, and how long a walk-through takes.
- Any prices you're comfortable saying on the phone, like a starting weekly rate.
And the limits, plainly:
- It books the estimate or the first visit. Putting a new customer on your weekly route is still your call.
- It doesn't make calls. If rain pushes the route back a day, letting customers know is still on you.
- It doesn't connect callers to you live, and it doesn't text anyone. A caller who wants you gets a message taken for a call back.
- It takes up to 2 calls at once, and it tells callers it's an AI whenever they ask.
What it costs for a landscaping company
Voice plans are priced by how busy your phone is, not per seat. Every plan answers 24/7, books and emails you every call, and includes setup. The first month is paid upfront; after that it's month to month. Minutes count only while the agent is on a call.
| Plan | Per month | Minutes | Calendars |
|---|---|---|---|
| Starter | $99 | 300 | 1 |
| Solo | $199 | 750 | 1 |
| Crew (most popular) | $299 | 1,200 | Up to 3 |
| Company | $499 | 2,500 | Up to 10 |
An owner-operator who runs the estimates and the mower usually starts on Starter. A company with a separate estimator, an irrigation tech or a second crew fits Crew: up to 3 calendars, so each one books on its own. See all plans or what an AI receptionist costs.
